Privacy Policy
Last updated: 13 July 2026
This Privacy Policy explains how personal information is collected, used, stored, and protected when you use the Southeast Asia Data Centre Infrastructure Map portal (the “Service”), offered as a strategic collaboration between Data Centre World Asia and Maps & Globe Specialist (together, “we”, “us”, or “our”).
By registering for an account, signing in, or otherwise using the Service, you acknowledge that you have read and understood this Privacy Policy.
1. Who this policy applies to
This policy applies to visitors and registered users of the Service, including individuals who create an account to view the interactive map and related table list materials.
2. Information we collect
We collect information that you provide directly when you register or sign in, and limited technical information needed to operate the Service securely.
2.1 Account and registration information
When you register, we collect:
- Full name
- Phone number
- Company email address
- Company name
- Designation / job title
- Professional profile category (for example, Data Centre Operators, Cloud Providers, or other selected audience segments)
- Password (stored only in hashed form; we do not store your password in plain text)
2.2 Authentication and session information
When you sign in, we create a session so the Service can recognise you across pages. Session information is stored in a secure, signed cookie on your device.
2.3 Cookie and preference information
We may store your cookie consent preference on your device (for example, in local browser storage) so we do not repeatedly display the consent banner. Session cookies are used to keep you signed in while you use the dashboard and related protected pages.
2.4 Technical and usage information
Our systems may automatically process limited technical data required for security and reliable operation, such as approximate access times, browser type, and basic server logs associated with requests to the Service. We do not use this information to build marketing profiles beyond operating and securing the Service.
3. How we use your information
We use personal information to:
- Create and manage your account
- Authenticate you and provide access to protected content (including the map and table list)
- Send registration confirmation and account-related notices where email delivery is configured
- Respond to support or access issues related to your account
- Maintain security, prevent misuse, and troubleshoot technical problems
- Produce aggregated, non-identifying statistics about registrant profiles for event and programme planning
- Comply with applicable legal obligations
We do not sell your personal information.
4. Legal bases for processing
Depending on your location and applicable law, we process personal information on one or more of the following bases:
- Performance of a contract or steps taken at your request to provide the Service after registration
- Legitimate interests in operating a secure registration portal and measuring programme engagement in aggregate
- Consent, where required (for example, for non-essential cookies or optional communications)
- Compliance with legal obligations
5. Cookies and similar technologies
The Service uses:
- Essential cookies — required for signed-in sessions and core security functions
- Preference storage — to remember your cookie consent choice
You can control cookies through your browser settings. If you disable essential cookies, you may be unable to remain signed in or use protected parts of the Service. You may also withdraw or change a previously stored consent preference by clearing site data in your browser.
6. How we share information
We may share personal information only as needed with:
- The collaborating organisers and authorised programme staff involved in operating Data Centre World Asia and the map access campaign
- Service providers who support hosting, email delivery, or IT operations, under appropriate confidentiality and security expectations
- Competent authorities where required by law, regulation, or valid legal process
Authorised administrators may access a list of registered users for programme administration and export that list for legitimate operational purposes. Password hashes are not included in user-facing exports.
7. International transfers
The Service may be hosted or supported using infrastructure located in more than one country. Where personal information is transferred across borders, we take reasonable steps consistent with applicable law to protect it.
8. Retention
We retain registration and account information for as long as needed to provide map access for the relevant campaign or event cycle, to maintain account security, and to meet legal, accounting, or reporting requirements. When information is no longer needed, we take reasonable steps to delete, anonymise, or securely archive it.
9. Security
We implement reasonable technical and organisational measures designed to protect personal information, including hashed password storage, signed session cookies, and access controls for administrative functions. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
10. Your rights and choices
Subject to applicable law, you may have the right to:
- Request access to the personal information we hold about you
- Request correction of inaccurate information
- Request deletion of your account or personal information, subject to legal retention needs
- Object to or restrict certain processing
- Withdraw consent where processing is based on consent
To exercise these rights, contact us using the channels described below. We may need to verify your identity before fulfilling a request.
11. Children’s privacy
The Service is intended for business and professional users. It is not directed to children, and we do not knowingly collect personal information from individuals under 16 years of age (or the equivalent minimum age in your jurisdiction).
12. Third-party content
The Service may display map, table, and branding materials prepared for the campaign. External sites or services that you choose to visit outside this Service are governed by their own privacy practices. This policy applies only to the Service described here.
13. Changes to this policy
We may update this Privacy Policy from time to time to reflect operational, legal, or technical changes. The “Last updated” date at the top of this page will be revised when changes are made. Continued use of the Service after an update constitutes acknowledgment of the revised policy, except where applicable law requires additional notice or consent.
14. Contact
For privacy-related questions, access requests, or concerns about this policy, please contact the organisers through the official Data Centre World Asia or Maps & Globe Specialist event and programme support channels used for this campaign.
Please include your registered company email address and a clear description of your request so we can respond appropriately.
